What is MoveIT
MoveIT is a program (Outlook add-on) that eliminates the need to file emails manually. Many users know that filing a busy inbox can be a daunting, boring task. These users simply don’t file their emails, resulting in a huge number of emails in an inbox. By automating the filing process MoveIT helps users to empty their inbox, and increase productivity. Results are seen after the first day of work!
Some users report freeing up to one day of work per month, simply by using MoveIT.
MoveIT integrates seamlessly with Microsoft Outlook (2000 / 2003 / 2007).
Why MoveIT (why file emails at all)
It is beyond the scope of this help file to explain all the reasons for correctly filing emails. We have listed a few main reasons for filing below:
- Emails in an inbox which aren’t filed are read multiple times, resulting in obvious time loss, let alone leading to non productivity.
- Imagine walking to your desk, and it’s covered with paperwork, so much so, that you can’t actually see what needs to be done!
- Emails can be found much easier, when organised in folders.
The MoveIT advantage
When setting up rules in MoveIT, you can start using projects effectively. One of the most common rules for filing is to file based on the senders email. With MoveIT you can specify that all email from John Smith are filed in the JSmith folder, and then create a new rule and specify that if an email is from John Smith AND the subject contains ‘acme production’ then file this email under a different folder for example, ‘ACME Projects’.
Registration
The MoveIT program will work for 14 days without any nag screens. This should give you the ability to test the software and decide if you want to register and continue using it. After 14 days, for a period of 30 days, every time you will press the MoveIT button, the program will display a “nag” screen, informing you that it is not a registered version and what to do in order to register. After an additional 30 days the program will stop working altogether.
How do I register
In order to register you will need to click the arrow next to the MoveIT button, which will reveal some options. Click on the Register option, and follow the instructions. What you will need in order to register, is your receipt number (MoveIT costs US$24.95, once off) as well as to copy the ‘Product key’. Once you’ve got them both, visit http://www.BlueLightIT.com/MoveIT, click the register button, enter your first name, last name, company name (if any), email address, receipt number and the paste the product key. Click register, and if all the information matches what we have in our database, then the registration system will provide you with your ‘Registration number’, which you should copy and paste into the registration field on the window that’s open. Click Register button, and the MoveIT program is now registered.
Purchasing a license
To purchase a MoveIT license, visit http://www.BlueLightIT.com/MoveIT click on the ‘Purchase license’ link, and continue to submit your payment details. An invoice will be displayed on the screen, as well as emailed to you, with all the required information for a successful registration of the product.
Getting Started
Once you have downloaded the MoveIT program from the website http://www.BlueLightIT.com/MoveIT, close outlook, and double click the installation. Continue through the installation wizard and accept all the default settings. If the install process was successful the next time you start Outlook you will see the MoveIT button. Highlight an email you want to file and click the MoveIT button. It’s as simple as that. If the email has an associated rule, it will be moved the specified folder. If the MoveIT program can’t find a matching rule the Add rule screen will be displayed.
Adding Rules
There are two ways to bring the Add rule screen.
- Click on the arrow next to the MoveIT button, click Manage rules, click ‘New Rule’.
- Highlight an email that doesn’t have an associated rule and press the MoveIT button.
Once you have the New Rule screen you can add a new rule (see below – Managing Rules)
Managing Rules
New rules
When adding a rule there are 3 pieces of information which are required:
- Rule name.
- Rule conditions.
- Folder name.
Enter a descriptive name for the rule.
Create the necessary conditions. For example, highlight an email, click the MoveIT button. The New Rule screen opens up. By default the condition specifies the subject contains, and then whatever the subject of the highlighted email is. If you change the Subject to Sender Email, you will notice that the program brings up into the field the sender email address. Click Add button on the right side. If the rule you want to create is based on the senders email address alone, then now is the time to select the folder where you want this senders email to be filed in. Click the Pick Folder button. A list of all the outlook folders are now visible. You can create a new folder, or navigate through your folder tree and select the appropriate folder. Click Save, and the email is now filed in the selected folder.
Edit rule
Click the Manage Rules option under the MoveIT button. In the Manage Rules screen select the rule you would like to edit, and click the ‘Edit Rule’ button.
You can now add conditions, remove conditions, or if you double click an existing condition you can make changes to it. You can also change the folder where emails are filed in. once finished simply click the ‘Save’ button.

Rule order
As the list of your rules grow, and as you start taking advantage of the possibilities offered by the MoveIT program, you will start creating more complicated filing conditions. Maybe emails from one person need to be filed in various folders based on different keywords. The rule order option will allow you to set which rules are processed first in the hierarchy order. Simply highlight one of the rules (in the Manage rules screen), and click the Up or Down buttons. Depending on your selection the rule will either gain a position in the hierarchy or lose a position.
Copy / Paste rule
From time to time you would want to save time by copying rules, pasting them and then just change one or two parameters in them. For this we have provided you with the Copy/Paste rule function. In the Manage Rules screen, select a rule, click the Copy Rule button, then click the Paste Rule button (note: this is the same button). Scroll down to the very bottom of the rules, and you will see the rule there. now you can make your changes to the rule as you wish.
Delete rules
In the Manage rules screen you can delete rules you no longer require.
Simply highlight a rule and click the delete button. Please note that the rule deletion is irreversible and NO confirmation screen will be displayed. USE WITH CAUTION.
About
The About screen (accessible by clicking the arrow next to the MoveIT button) displays the status of the program (unregistered / registered) as well as the version number. The support team may send you email notifications from time to time informing you about upgrades to the MoveIT program. If your software is registered, you will get these updates to the email address that is displayed in the About screen.
